The challenge

What wasn’t working.

Each business kept its own view of the same clients. Onboarding meant checking identity documents and proofs of address by eye, screening every party and rating the risk, under regulation that requires the evidence on file. Investment reviews were put together by hand from statements in a dozen formats, so the group’s most valuable clients were the most expensive to report on.

The audit

What we found.

We mapped onboarding, compliance, servicing and reporting across all four businesses, with the people who run them.

  • Two in three clients dealt with more than one business, so their details were kept, and updated, more than once.
  • 50 to 70 investment reviews a month were consolidated by hand from platforms, brokers and product issuers.
  • Compliance checked every identity document and proof of address by eye before a client could be activated.
  • Re-checks were due on a cycle set by each client’s risk rating, and tracked by hand.

Skilled people spent their days gathering and re-keying data across systems, not advising clients.

What we built

One operating system for the group, with AI doing the reading and checking, and people making every decision that regulation puts on them.

    One client, four businesses

    A single record per client, with each business, adviser and role seeing only what it should.

  2. 02

    Onboarding and activation

    AI reads each uploaded document and compares it with the record: ID number, name, the date on a proof of address, signatures and expiry. Compliance sees every flag with the evidence, and decides.

  3. 03

    Screening and risk

    Every party is screened, every client risk-rated, and re-checks are scheduled from the rating, with reminders and an audit trail.

  4. 04

    Investment reviews

    Holdings and valuations come in from providers. An exceptions screen shows what is missing or stale, the adviser approves, and the review is issued as a locked document.

  5. 05

    Servicing and audit

    Withdrawals, switches and claims run as tracked workflows with deadlines. Every action is logged, and the data stays in the country.
